14b) DISCUSSION & POSSIBLE ACTION ON MOTOR GRADER — Steve Riehle
provided a spread sheet for the board members if that is where the board wants to go.
He has revised the bid specs to address the items they want added and what they want
removed and said he removed some of the various packages. He addressed the grad
control package, removed the hitch, all lighting to be LED, addressed door locks,
removed security systems, and has a dedicated review camera ask for extended
warranty and also for the joy sticks, the high tech rearview cameras, and added if a
unit is down for 30 days furnish they are to furnish a loaner and add fuel use credit and
also a parts credit no wings for the motor graders dealer preformed maintenance DPF
filter took off filter package took off and repurchase agreement was removed will not
trade in in 5 years. The other sheet is how many graders to consider purchasing 1 3 or
6.
Quandt ask if the spec will be broad enough so all of the vendors will be able to bid.
Steve said there are differences on each machine but they want to get 3 bids.
Sorensen stated once the budget is approved we need to get moving on this sooner
than later. Upkeep costs are an issue the interest rates are low and it is a good time to
move forward. They can address bidding for 1, 3 or 6 he would or would they like to
purchase one a year but that would be expensive. If 3 machines go down the
maintenance could be very high. We want to make sure we are aware of the proposal
and they are trying to get some reports to show the true costs out of the R & B program.
The first 5 years was only $300.00 and $2,000.00 after that. Steve said he can ad
additional information for the board if they want it.
Bredthauer ask if the bid specs were specific to a certain make like the John Deere
units have steering wheels instead of a joy stick. Steve said they do not want to
eliminate any one and they want to make the bidding fair and make sure the vendors
can provide a machine. She also did not want to have the motor size included Steve
said he wants to give the specs to the vendors to make sure that they would have a
machine so they can submit a bid. He wants information from the bidders
Richardson ask if Karen and Scott have a recommendation if they suggested 1, 3 or 6
units. Sorensen said you get a better discount if you would request bids for 6 and a
better interest rate.
Bredthauer said the units do have high numbers and when they hit 10,000 miles the
repairs are expensive on a joy stick or electronics could be $10,000. She agrees with
Scott.
Peterson ask if they would run into the same problem replace 6 rather than 3?
Lancaster this is what happened in the past she would be in favor considering 3 and do
again in 2 years. They did this with the sheriff's cars she understands the cost
concern
6
