14. D) DISCUSSION & POSSIBLE ACTION REGARDING ADMINISTRATION <br /> BUILDING HVAC SYSTEM — Loren Humphrey was present said he wanted to bring this <br /> to the board for discussion. He expressed concern on the age of the current HVAC <br /> system in the Administration Building and noted that the cost has increased and they <br /> are expecting another 17% increase. HVAC systems usually last 20 to 30 years and <br /> this system has been here since 1980. They currently cannot get parts for the <br /> pneumatic controls and hoses wear out. <br /> Quandt noted this is not an emergency and the costs are based on supply and demand <br /> and it is possible that the costs could level off. <br /> Sorensen noted that cost of copper is $4.00 a pound and costs of materials could level <br /> off but labor will not go down. He suggested moving forward and getting it designed <br /> and come up with some preliminary costs. <br /> Loren noted that it is difficult to get galvanized materials but they could look at other <br /> materials. If they have the design they would be ready to go out for bids because the <br /> design will take some time. <br /> Lancaster it would be good to get a plan together. Unless it is an emergency this would <br /> be a very expensive time to start but it take some time for an engineer to prepare. This <br /> is a perfect project for ARPA funds. <br /> Lancaster made a motion and Quandt seconded to move forward to address the HVAC <br /> system in the Administration Building. <br /> Quandt suggested to look at all options for the HVAC system and can also use the <br /> ARPA funds. Loren stated it could be $1 million dollars for a system, but it is important <br /> to do it right for the future. <br /> Sorensen said the county can get it started but will have 4 years to use the funds. We <br /> do not want to buy materials now. <br /> Loren said if it is an emergency it will be ready to go. <br /> The vote on the motion to move forward to address the HVAC system was taken. <br /> Bredthauer, Hurst, Lancaster, Quandt, Peterson, Richardson and Sorensen all voted <br /> yes and no one voted no. Motion carried. <br /> B) SET BID OPENING FOR JANITORIAL SERVICES FOR MAY 10, 2022 WITH BIDS <br /> DUE MAY 9, 2022 AT 4:30 P.M. This has been discussed and he provided the board <br /> with copies of the specifications. This will be bid 2 different ways. Loren said he <br /> measured each building for the common areas for bid specifications #2 and bid <br /> specifications #1 is the complete janitorial service. He has talked to some of the <br /> employees and they are on board doing the cleaning but his department will have some <br /> planning and he has some concerns on the chemicals that are used. The trash bags <br /> and cleaning supplies will be provided. <br /> 6 <br />
