DISCUSSION AND ACTION REGARDING BIDS FOR SCANNING PROJECT FOR HALL <br /> COUNTY ASSESSOR/REGISTER OF DEEDS —The bids for the scanning project were <br /> received March 7. County Assessor/Register of Deeds Jan Pelland stated that there were two <br /> bids received. Microfilm Imaging for$39,695.00 and Sutterfield Technologies for $23,214.30. <br /> Doug Drudik reviewed the bid for the technical aspect and both companies would comply with <br /> what is needed. They did contact Microfilm Imaging and informed them that they may delete <br /> one of the categories out of the initial bid and they stated the bid would stay the same. Pelland <br /> stated they currently work with Microfilm Imaging they are out of Omaha and she would <br /> recommend staying with them. The other company is from Duncan Oklahoma and she is not <br /> familiar with their work and they are out of state. She expressed concern that they would have <br /> overhead costs and expressed concern on the difference between the 2 bids. Discussion was <br /> held to postpone awarding the bids and take time to get back to both of the companies. There <br /> is $16,000.00 difference on the bids. <br /> Arnold stated that if we ask people to submit bids there needs to be a good reason not to go <br /> with the low bid. They can still negotiate what is to be removed. <br /> Lancaster noted there may be a reason there is such a difference between the two bids and we <br /> need to check the references and consider the amount of the bids. <br /> 2 <br />
