<br />,: 19~_90443 <br /> <br />DSICUSSION OF PROGRAMMING AND DATA ARCHNE FOR CLERK OF THE <br />DISTRICT COURT: The computer committee met to discuss this issue and Lancaster <br />reported that the software that was provided by Contryman's will not be Y2K compliant. <br />This system still contains active files and is used for information on a daily basis. It was <br />assumed that the information was being transferred to the new system but this has not <br />been done and the transfer cannot be completed by the end of December. Will Bennett <br />the computer consultant informed the computer committee that a program will need to be <br />written to archive the information so it can be transferred to the new system. The cost of <br />the program will be about $8,000.00 and will take seven to eight weeks to complete. <br />Lancaster stated that she feels this is an emergency situation and would like the board to <br />accept the proposal to complete this program. Lancaster made a motion and Arnold <br />seconded authorize the computer consultant Will Bennett to write the program to archive <br />the information in the Clerk of the District Court Office old computer system and to wave <br />the bidding process and classify this as an emergency. Landis questioned what the total <br />cost would be if they do not know how many files there are. The Clerk of the District <br />Court's office was told to have this project completed by September 15 but it has not <br />been done. The child support cases have been moved to the justice system but the civil <br />cases have not been moved. Stelk stated that Linda Zimmerman has continued to use the <br />old system and now it is critical to maintain this information. Lancaster stated that the <br />county was not aware of the September 15 deadline to transfer the information. Hartman <br />stated that it was not Contryman's fault and we are not placing any blame on them they <br />have fulfilled their contract. This is the department heads responsibility and the cost of <br />the program should be taken out of her budget but Lancaster stated that the Clerk of the <br />District Court does not have the money to do this. Jeffries stated that this is the <br />department head's fault and at budget time she informed the board that everything was <br />being processed. The vote on the motion to approve the funds and authorizing Will <br />Bennett to write the program was taken. Arnold, Hartman, Jeffries, Lancaster and Stelk <br />all voted yes and Logan and Landis voted no. Motion carried. <br /> <br />BOARD ASSISTANT'S REPORT: Stacey reminded the board members to turn in their <br />evaluations and stated that there is a 4H recognition program Sunday at 6:30 p.m. <br /> <br />BOARD MEMBER'S REPORTS: Stelk stated she attended the Library board meeting, <br />the computer committee meetings and a county government day meeting and reviewed <br />the tape on county government. <br /> <br />Lancaster - She attended the MAAA meeting, the computer committee meetings and the <br />state convention will be held next week. The applications that are received for the <br />cultural diversity committee are to be turned in to Stacey.
